Youth Residential Administrative Assistant (Part-Time)

Integrated Services for Behavioral Health (ISBH) is a community-minded, forward-thinking behavioral health organization helping people along the road to health and well-being. We meet people in their homes and communities and help connect them to the resources they need. We serve Southeastern and Central Ohio with a comprehensive array of behavioral health and other services – working with local partners to promote healthy people and strong communities. All of our services are intended to be collaborative and personalized for the individual.

Under the general direction of the Director, Mary Hill Youth and Family Center (MHYFC), the Administrative Assistant is responsible for assisting with the daily operational needs of the MHYFC, supporting any budgetary needs and documentation requirements.

The pay rate for this position is $18.46 to $21.63 per hour.

Essential Functions:

Expense & Supply Assistance:

  • Prepares and submits expense reports, documenting receipts, and assists with budget tracking.
  • Responsible for ordering program-needed items including monthly food orders, office supplies, and equipment.

Documentation Management:

  • Organizes and maintains physical and electronic files in accordance with local and federal laws and regulations.
  • Maintains accurate and up-to-date records, including resident files, staff records, and facility documents.
  • Responsible for program data entry and management of incident reports.
  • Responsible for documenting the school lunch program.
  • Ensures compliance with confidentiality and privacy regulations.

Office Support:

  • Ensures the office environment/admission and intake space is clean, organized, and welcoming.
  • Assists with scheduling meetings, and program events.
  • Prepares and distributes meeting agendas, minutes, and other relevant documents.
  • Handles incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Coordinates communication among staff members to facilitate efficient operations, and conduct safety drills.
  • Coordinates and partners with the Training Specialist for program training and professional development activities.
  • Other duties as assigned.

Minimum Requirements:

  • A high Diploma or GED equivalent is required.
  • Three years of experience in a coordinator or administrative role required.
  • Experience with monitoring purchasing processes preferred.
  • Demonstrates a high degree of cultural awareness.
  • Broad knowledge of facility-based service systems.
  • Willing to participate in and lead cross-systems team-building activities.
  • Able to effectively communicate through verbal/written expression.
  • Willing to be trained in CPR, first aid, and de-escalation training.
  • Must have a valid state driver’s license.
  • Must be able to operate in an Internet-based, automated office environment.

Physical Requirements:

  • Must be able to push, pull up, and lift up to 40 lbs.
  • Constantly must hear, see, speak, and be physically mobile.
  • Demonstrate ability to pass safety requirements as set by the department.
